Email deliverability is the backbone of any CRM. If your emails don’t reach the inbox, your automations and campaigns can’t do their job.
Unlike other CRMs that require complex, manual configuration within the plugin settings, GemCRM is designed to be plug-and-play. We utilize the native WordPress email engine to ensure maximum compatibility and zero configuration overhead.
1. How GemCRM Sends Emails
GemCRM uses the standard wp_mail() function, the same system WordPress uses to send password resets and site notifications.
This means:
- No Internal Settings: You won’t find an “SMTP Settings” tab inside GemCRM because the system is already “live” the moment it’s installed.
- Automatic Integration: If you already have an SMTP plugin (like FluentSMTP, WP Mail SMTP, or Post SMTP) configured on your site, GemCRM will automatically use that connection to send your marketing emails.
2. Why Use a 3rd Party SMTP Plugin?
By default, many WordPress hosts use “PHP Mail,” which often leads to emails being marked as spam. To ensure your GemCRM campaigns hit the primary inbox, we recommend using a dedicated SMTP plugin.
When you install an SMTP plugin:
- Authentication: It adds SPF, DKIM, and DMARC signatures to your emails.
- Reliability: It bypasses host restrictions and uses professional delivery services (like Amazon SES, Mailgun, or SendGrid).
- Automatic Detection: GemCRM detects these professional “tunnels” instantly. You don’t have to copy-paste API keys into GemCRM.
3. Recommended Setup Workflow
Since GemCRM configures itself based on your WordPress environment, follow these steps for the best results:
- Install an SMTP Plugin: We recommend FluentSMTP or WP Mail SMTP (both are free).
- Configure Your Provider: Follow the wizard in that plugin to connect to your provider (Gmail, Amazon SES, Brevo, etc.).
- Send a Test: Use the test feature inside that SMTP plugin.
- Done! Once that test email arrives in your inbox, GemCRM is officially ready to send your campaigns.
4. Troubleshooting Deliverability
If your GemCRM emails are not sending, the issue is likely with the site’s general mail configuration rather than the CRM itself.
- Check the “From Email”: Ensure the “From Email” in your GemCRM Campaign settings matches the authenticated email in your SMTP plugin.
- Email Logs: Check the logs in your SMTP plugin. If GemCRM attempted to send an email, it will show up there with a “Success” or “Failed” status.
- Hosting Blocks: Some hosts block Port 25. If your SMTP plugin fails, try using an API-based connection (like SendGrid or Mailgun) instead of traditional SMTP.
Finally, GemCRM is built to be invisible. By staying out of the way and utilizing your existing WordPress mail configuration, we ensure that you spend less time troubleshooting settings and more time growing your business.
**N.B. Simply set up your site’s mail once, and GemCRM handles the rest.
